We are seeking a highly organized and creative Film Crew Scheduler who brings event planning expertise to the film production environment. This role requires an organised individual with outstanding people skills, and a keen eye for detail.
The ideal candidate will blend experience in planning high-end events with the ability to thrive in a fast-paced, production setting.
The Role
• As a Film Crew Scheduler, you’ll be our key point of contact between
freelance crew and film production offices. You’ll liaise with each ensuring film
productions have the right person for the job, manage the crew schedule and
handle any last-minute changes. (There are always last-minute changes!)
• This role will be great for someone who has event planning experience, is
personable, thrives in a fast-paced environment, enjoys problem-solving on the fly
and can work under pressure.
Ideally have a solid understanding of film set roles and logistics but this not essential.
Key Responsibilities:
• Coordinate the scheduling and booking of freelance shoot crew for productions
across the UK and occasionally abroad.
• Maintain and develop strong relationships with our network of freelancers.
• Respond quickly to schedule changes and last-minute requests, finding solutions
under pressure.
• Keep accurate records of crew availability, up-to-date CV’s, rates, experience, and
preferences.
• Work closely with the production office to align crew and equipment
requirements and logistics.
• Ensure all crew are briefed and have necessary documentation (call sheets, NDAs,
travel info, etc.).
• Monitor and update and utilise our crew schedule booking calendar and production
tracking systems.
• Manage onboarding for new freelancers, including contracts, rate cards, timesheets
and compliance.

Essential Requirements:
• A natural organiser with razor-sharp attention to detail.
• Calm under pressure and quick to problem-solve in high-stress situations.
• Excellent communication skills – personable, professional, and confident.
• A proactive team player who keeps things running behind the scenes.
• Ability to multitask and prioritise in a fast-paced environment.
A driving license necessary to get to work.
Desirable
• Experience working in a production office or similar role within the film/TV industry.
• Strong working knowledge of crew roles and the freelance landscape in film & TV.
• Familiarity with scheduling or production management software is a bonus.

Working Conditions
• 42.5 hours per week, working shifts within our main hours of business - 7am to 7pm - with
flexibility to work outside of these hours if required.
• Monday to Friday
• Holiday - 20 days per year plus UK bank holidays
