Join a well-established construction business in Guernsey as a Receptionist and Secretarial Support – Full Time, Permanent, where you will play a central role in keeping the business running smoothly. This is a varied and people-focused position that combines front-of-house responsibilities with high-level administrative and secretarial support. As the first point of contact for a wide range of visitors and callers – from clients and architects to site workers, subcontractors, and service providers – you will represent the business with confidence, professionalism, and a strong focus on service.
Overview of Duties
You will provide day-to-day administrative support to Contract Managers and the wider operations team while maintaining an organised and welcoming front office environment. The successful candidate will be confident managing a busy reception desk, coordinating meetings, overseeing office supplies, and supporting internal processes.
Key responsibilities include:
• Greeting and assisting visitors, managing meeting room access and bookings.
• Handling all incoming calls and managing the shared reception inbox.
• Providing diary management and meeting coordination support.
• Drafting letters, general correspondence, and meeting minutes.
• Managing post, couriers, and office filing systems.
• Coordinating stationery and office supply orders.
• Liaising with external providers (e.g. cleaners, couriers, taxi firms).
• Monitoring office systems and escalating issues where needed.
• Supporting Contract Managers with day-to-day administrative needs.
The Ideal Candidate
You will have previous experience in a receptionist, administrative or secretarial role, ideally within a busy office or operational setting. A positive, professional approach, strong organisational skills, and the ability to communicate confidently with people at all levels are key. You must be proficient with Microsoft Office and comfortable handling confidential information with discretion.
