Description

Axcis Education are working closely to support an alternative provision just outside of Torbay who are looking to appoint a full-time administrator on a permanent basis for the service. This is a term time only position, with a requirement of eight working days during the school holidays. This is a hybrid role, with flexible arrangements to be confirmed following an initial induction period.

Salary: £18,500-£20,000
Contract: Permanent (term time only, plus 8 days during school holidays)
Responsible to: Director of Provision.
Hours: 09:00–16:00 (term time only, plus 8 days during school holidays)
Start Date: ASAP

Service Operations
? Oversee and manage the daily administrative operations to ensure smooth provision delivery.
? Maintain accurate and confidential records (e.g. student files, attendance, safeguarding, staff compliance).
? Oversee digital systems and ensure information is up to date and accessible.
? Organise and support events, meetings, training days and extracurricular activities.
? Schedule training sessions and maintain records of completed professional development.
? Coordinate induction programmes for new staff.
? Take, transcribe, and distribute minutes from meetings in a timely manner.
? Liaise with facilities or maintenance teams regarding site issues.
? Help maintain and update service policies and administrative procedures as directed.
? Ensure relevant policies are accessible and communicated to staff as needed.
? Support colleagues in using systems and maintaining best practice.

Communication and Coordination
? Handle incoming enquiries and communications professionally (phone, email, in-person).
? Coordinate internal meetings and external communications.
? Act as a liaison between staff, families, and external agencies.

Finance and PA Support
? Process invoices, purchases, staff expenses and mileage claims accurately and efficiently.
? Assist with budget tracking and purchasing of office or educational supplies.
? Provide PA support to the Director, including diary management and preparation of documentation or correspondence.

Exam Duties
? Provide administrative support for all exam processes and assessments.
? Manage all internal and external exam processes and documentation.
? Register students with awarding bodies and manage entries.
? Ensure JCQ/awarding body compliance.
? Coordinate access arrangements and invigilator support.
? Communicate schedules, guidance, and results to relevant parties.
? Submit results and store data securely.



Staff and Compliance Support
? Support staff recruitment processes and ensure all compliance documentation is up to date.
? Oversee safer recruitment checks and maintain staff compliance records.
? Coordinate and log staff CPD, training and supervision.
? Provide administrative support during inspections, audits or quality assurance processes.

Organisational Ethos and Culture
? Uphold the organisation’s trauma-informed, inclusive approach in all communications and decisions.
? Handle sensitive information with confidentiality and discretion.
? Be proactive in finding ways to improve efficiency and service delivery.



Person Specification and Qualifications

The following list is indicative of the kind of person we are looking for.

Essential Desirable
Qualifications - GCSE English and mathematics at Grade C/4 or above
- Desire to participate in training opportunities - NVQ or other equivalent qualification in Business Administration or similar

Experience
- Experience in administration (ideally in education)
- Experience in managing multiple priorities in a busy environment
- Experience as an Exams Officer or in exam administration
- Experience supporting inspections, audits or compliance processes

Skills
- Strong written verbal and interpersonal communication skills
- Excellent organisational and time-management abilities.
- Proficient in Google Workspace (Drive, Docs, Sheets, Gmail).
- Willingness to learn and undertake training (e.g. safeguarding, exams, systems)
- Familiarity with SEMH or Alternative Provision educational settings.
- Understanding of safeguarding and safe recruitment procedures
