Description

The Office Administrator plays a crucial role in ensuring the smooth and efficient
operation of the office environment. They are responsible for handling a variety of administrative
tasks, supporting office staff, and maintaining office systems and procedures. You will report directly
into the Office Manager working for our client, who is a leading technology workplace provider. The role will require a daily commute to the office based in EC3A, with the closest station being Liverpool Street or Fenchurch Street.

Responsibilities:
1. Administrative Support: Provide administrative support to ensure efficient operation of the
office. This includes managing office supplies, handling correspondence, and coordinating
office activities.
2. Communication: Serve as the first point of contact for the office, both internally and
externally. Answer and direct phone calls, emails, and other inquiries.
3. Record Keeping: Maintain accurate records, files, and databases. Organise and update
paperwork, documents, and reports.
4. Scheduling: Manage calendars and schedules for management & staff. Coordinate
appointments, meetings, and travel arrangements.
5. Facilities Management: Oversee the maintenance of office facilities and equipment.
Coordinate repairs and servicing as needed.
6. HR Support: Support with HR tasks such as recruitment coordination, onboarding new
employees, and maintaining personnel records.
7. Event Coordination: Assist in planning and organising office events, meetings, company
social events.
8. Data Entry: Input and manage data in various bespoke online system.
9. Policy Compliance Administration: Work with the Office & H&S manager to ensure
compliance with company policies, procedures, and regulations.

Qualifications and Skills:
1. Experience: Prior experience in office administration or a related role is preferred.
2. Organisational Skills: Strong organisational and multitasking abilities
3. Communication Skills: Excellent verbal and written communication skills.
4. Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
5. Attention to Detail: Accuracy and attention to detail
6. Problem-Solving Skills: Ability to identify issues and find effective solutions.
7. Customer Service: A friendly and professional demeanour
8. Confidentiality: Discretion and the ability to handle confidential information with sensitivity
are essential.
