We are seeking a motivated and highly organised Kit Room Team Leader to support and oversee our Check In and Check Out teams. This role is pivotal to ensuring smooth, efficient day to day operations in a fast-paced environment. You will work closely with the other Kit Room Team Leader, rotating between Check In and Check Out every five months (post probation).
This position requires strong leadership, excellent communication skills, and a proactive approach to problem solving. You will uphold high standards, drive process improvements, foster a positive team culture, and lead by example.
Key Responsibilities
Team Leadership & Task Management
• Allocate and reallocate tasks across the Check In and Check Out teams based on shifting priorities.
• Manage in house jobs such as PAT testing, repairs, and monitor calibrations, along with client-facing tasks.
• Maintain clear communication to manage expectations and minimise team dissatisfaction.
• Lead by example, participating hands on in daily tasks and ensuring high standards across all processes.
• Hold yourself and the team accountable for quality and timely completion of tasks.
• Motivate the team, maintain morale, and provide 1 1 support to develop performance or address concerns.
Rota, Overtime & Resource Planning
• Create, manage, and update staff rotas.
• Approve time off and overtime requests, including TOIL entries.
• Identify when additional cover is required and liaise with regional teams accordingly.
Cross-Team Collaboration
• Work closely with Production, the other Kit Room Team Leader, and wider departments to ensure smooth workflow and effective communication.
• Coordinate staffing support between Check In and Check Out teams when needed.
Quality, Process & Performance
• Uphold rigorous operational standards and conduct regular reviews.
• Analyse process breakdowns, work with task forces to implement improvements, and communicate updates effectively.
• Support team development, knowledge sharing, and completion of individual pipelines.
• Monitor team performance and escalate issues to management when required.
Regional Support & Stock Flow
• Support regional teams by discussing issues, reviewing pipelines, and overseeing stock shipments between warehouses to maintain balance.
Production Liaison
• Support tasks such as Prep Room allocations and planning for upcoming, unassigned jobs.
Role-Specific Responsibilities
Check In Team Leader
• Write off jobs following Production L&D sign off.
• Run daily portal reports to identify and resolve asset anomalies.
• Oversee repair shelf issues, testing, and follow up actions.
Check Out Team Leader
• Support the Helpdesk/Support Team as required.
• Manage escalations involving Operators and Drivers.
• Take accountability for the third check stage of the Carnet process.
Training & Documentation
• Maintain and update training materials, handbooks, videos, and checklists to ensure accuracy and relevance.
• Allocate training documentation tasks and ensure timely completion.
• After 6 months: research and book external training seminars.
Meetings & Communication
• Attend and contribute to relevant meetings, including:
o Check In: Dashboard (Weekly)
o Check Out: Stock Availability (Weekly)
o Alternating: Interdepartmental Round Table (Bi Weekly)
o Both Team Leaders: Line Management (Weekly), Head Tech Team (Bi Weekly)
• Lead the weekly Kit Room Huddle on a rotating basis.
• Schedule and conduct 1 1 meetings with direct reports and follow up with notes.
New Services & Continuous Improvement
• Research upcoming services/new job types and present Kit Room insights and operational needs.
