Overview of the Role
The successful candidate will be responsible for the day-to-day administration of a varied portfolio of trust and company structures, ensuring compliance, accuracy and a high standard of client service at all times. This includes handling transactions, preparing documentation, maintaining client records and attending virtual and local client meetings. The role also involves active communication with intermediaries and contribution to internal projects and new business onboarding.

Key Responsibilities
• Administer a portfolio of trusts and companies, including client and intermediary correspondence.
• Draft minutes, resolutions, and supporting documents for review.
• Process payments and transactions across a wide range of asset classes.
• Maintain accurate and up-to-date client records, profiles and risk assessments.
• Ensure all client communications are acknowledged within 24 hours.
• Attend client meetings and prepare file notes post-meeting.
• Support the onboarding of new business and timely closure of outgoing entities.
• Review time billed quarterly and ensure timely issue and collection of fee invoices.
• Maintain compliance by signing off periodic reviews and completing outstanding tasks.
• Achieve time recording targets and daily timesheet completion.
• Act as a C level signatory where required.
• Adhere to all company policies, procedures and regulatory obligations.

The successful candidate will have:
• A minimum of 5 GCSEs (or equivalent) including English and Mathematics at Grade C or above.
• 3–5 years’ experience in an administrative role within fiduciary services.
• A willingness to study towards a relevant professional qualification (e.g. STEP, ICSA, ACCA).
• A sound understanding of trust and corporate services and regulatory requirements.
• Strong organisational and time management skills with a keen eye for detail.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office, particularly Word, Outlook and Excel.
• A proactive approach with the ability to manage tasks independently.
• A flexible, team-oriented mindset and a drive to learn and progress.
